This role provides high-level administrative support to the Vice President and the People & Culture division. They will report to the Executive Program Manager within People & Culture. This role is pivotal in ensuring the smooth operation of the office, managing schedules, coordinating meetings, monitoring budgets, purchasing, and handling confidential information with discretion. The ideal candidate is highly organized and proactive, has excellent verbal and written communication skills, and can manage multiple priorities in a fast-paced environment.
Summary of Responsibilities
- Administrative Support: Provide comprehensive administrative support to the VP of People and Culture, including managing calendars, scheduling meetings, and preparing meeting materials. Directs faculty, staff, and others to appropriate team members. Oversee office supplies and equipment, ensuring the office environment is well-maintained and functional. Work collaboratively with other administrative staff and departments across campus to ensure seamless operations and support.
- Communication: Responsible for composing complex correspondence and PowerPoint presentations and ensuring timely and professional responses to internal and external communications. Prepare, review, and distribute documents and reports. Maintain accurate and organized records and files.
- Event Coordination: Assist in planning and coordinating events, workshops, and training sessions for the People and Culture division.
- Project Assistance: Support the Executive Program Manager in various projects, including research, data analysis, and report preparation.
- Other duties as assigned
Minimum Qualifications
- Graduation from an accredited institution with a bachelor’s related to the Summary of Duties or any combination of education and/or experience totaling four years.
Preferred Qualifications
- Experience in higher education or corporate setting.
Knowledge, Skill, and Abilities
Knowledge
- Knowledge of the use of computers and computer software applications, including word processing, spreadsheets, e-mail, databases, and presentations.
- Knowledge of best practices in communications, correspondence, and appropriate matters of etiquette in various settings or communication channels.
- Knowledge of current and efficient practices in scheduling, administrative support, and events coordination.
Skills
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
