Duties & ResponsibilitiesThe VCU Health Hub at 25th (also referred to as the Health Hub) is a university and health system, community-based center operated in Richmond’s East End. The Health Hub is a place-based center that is part of the Division of Community Engagement in the Provost’s office.

The Health Hub opened in May 2019 and is located at the corner of Nine Mile Road and North 25th. The Health Hub collaborates in partnership with others to improve social determinants of health affecting health outcomes in the East End by supporting a wide range of health and social services, programs, and activities. The Health Hub provides: Enrollment, navigation, coordination in health care & social service benefits; Neighborhood outreach, engagement & partnerships; Health promotion, disease prevention, self-care, and wellness programs; Community health events and activities; Legal, housing, food, & transportation assistance. Our partners include Virginia Department of Health, Medical Legal Partnership, Senior Connections, Richmond Health & Wellness Program, VCU Massey Cancer Center, LISC Virginia, and many more!

The VCU Health Hub invites qualified applicants to apply for the role of Administrative Assistant. This position will provide administrative support and manage complex administrative processes related to participant intake, partner and advisory group coordination, student engagement and coordination, and managing scheduling of programs and volunteers. This is a front-desk, community-based position and this role requires strong interpersonal communication skills and must be able to work with diverse stakeholders in a demanding, fast-paced, and collaborative work environment. QualificationsResponsibilities include but are not limited to:

  • Providing administrative support to the Health Hub team, including scheduling appointments, programs, and meetings
  • Managing Health Hub front office activities, greeting visitors, and managing the intake process.
  • Assist with the development of meeting agendas, prepare meeting materials, and take/distribute minutes accordingly as needed.
  • Managing administrative tasks and follow up on Hub activities and projects, staying informed regarding all on-going projects and reports.
  • Working closely with key partners who have active programming at the Health Hub or are interested in future programming at the Health Hub.
  • Exercising a high level of independent judgment in triaging requests and resolving issues for various constituencies.
  • Handling special projects and performing related administrative duties as required.
  • Applying planning and project management skills to a range of administrative work situations.
  • Other duties as assigned.

MINIMUM HIRING STANDARDS:

  • Bachelor’s degree related to the field of health or social services, business administration, marketing and communications, public policy, public administration or other related academic fields, or equivalent experience.
  • Administrative experience.
  • A demonstrated commitment to promoting and enhancing diversity, equity and inclusion.
  • Ability to work independently and as part of a collaborative team.
  • Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.
  • Ability to perform duties independently
  • Proficient in upholding a high level of confidentiality.
  • Excellent organizational skills in multitasking, prioritizing and managing various projects.
  • Excellent customer service skills and ability to diffuse difficult situations.
  • Ability to use technology to create administrative efficiencies.
  • Fluency with Microsoft Office Suite, Zoom, and Gmail

PREFERRED HIRING STANDARDS:

  • Experience working in a higher education setting or in a community-based organization.
  • Experience working with community residents from a primarily African-American community in a front-line role
  • Experience working as a frontline office assistant interacting with diverse stakeholders including community residents and community partners
  • Interest in staying technically current and mastering new technology systems identified by VCU and/or the VCU Health Hub.
  • Experience with database platforms such as Canvas, REDCap, Unite Us and/or Epic.
