About This Role:
Reporting directly to the Assistant Vice President (AVP) for Admissions and Aid, the Administrative Coordinator manages and coordinates the business operations of Enrollment Services with responsibility for multiple fiscal sub-units and functions, which include budget preparation and control, human resources administration, accounts payable, accounts receivable, contract and grant accounting, and auxiliary enterprises. In addition, this position will train ongoing Enrollment Services sub-unit administrative staff.
What You’ll Do – Position Responsibilities:
- Provide administrative support to the AVP and staff of the offices of Admissions and Student Aid.
- Manages the daily financial activities and record keeping month to month.
- Prepares and distributes various confidential correspondence, answers and screens departmental phone calls.
- Manages case, cash-related receipts, accounts receivable, and credit and collection functions, ensuring timely processing of billings, payments, and collection of program revenue.
- Prepare and verify requisitions, travel, and purchases.
- Develop and implement systems to maintain records on employees, inventory, and compliance activities.
- Manages the Office of Admissions and Aid master calendar and reservation system for John Gray Auditorium.
- Distribute and verify Vacation/Sick Leave reports for those reporting to supervisor; maintain attendance calendar.
- Prepare Personnel Action Requests (EPAFs) and hire packets as needed for division, including requests for IT account access.
- Evaluate and/or negotiate contracts for the purchase of services in coordination with the university purchasing department.

Physical Requirements:

- Works in an office environment for 6 to 8 hours.
- Work is normally performed in a typical interior work environment that does not subject the employee to any unpleasant elements.
- Occasional lifting, pushing, climbing, and pulling may be required.
- Work environment involves minimal exposure to physical risks.
- Regularly use headphones and earpiece.
- Occasionally lift 10-15 pounds.
