Job Summary
The Alumni Relations and HKS Fund Coordinator is responsible for coordinating projects and initiatives supporting the Alumni Relations and HKS Fund teams within Alumni Relations and Resource Development (ARRD), such as data management and analysis, research, and event support. It contributes to meeting and exceeding department engagement and revenue goals by providing exemplary support to these two teams. The ability to be detail-oriented and handle highly sensitive information with the utmost confidentiality is critical. Also, as this role is equally split between two teams and managers, the ability to prioritize competing priorities and maintain open communication is essential.

Department/Center Overview
The mission of Alumni Relations and Resource Development (ARRD) is to engage Harvard Kennedy School (HKS) alumni, friends, donors, and prospective supporters to secure the resources the School needs to achieve its priorities. In consultation with our academic partners across the school, ARRD provides opportunities for donors to achieve their philanthropic vision while enhancing the relationship our alumni have with the School and each other. Position Description
Duties and Responsibilities

  1. Maintains alumni and donor data, including, but not limited to, tracking volunteers and engagement, regularly updating contact information, maintaining gift records, and with a strong emphasis on mastering Advance (CRM) and its various data reporting tools.
  2. Synthesizes engagement, giving, and communications data, tracks metrics, and reports findings internally to the Alumni Relations and HKS Fund teams monthly, as well as externally for meetings and publications including the annual report on giving and engagement.
  3. Works closely with both teams to organize and plan alumni reunion weekend, which includes creating and managing registration and giving forms, responding to inquiries, managing the event inbox, maintaining website, class pages, and donor lists, and providing on-site event support during the weekend.
  4. Provides support for Alumni Relations and HKS Fund events, outside of reunion, involving creation and maintenance of event forms, tracking RSVPs and gifts, outreach to invitees, event material production, donor list upkeep, and post-event data reporting.
  5. Works closely with the HKS Fund staff to support the Graduating Class Campaign, which includes regularly staffing a giving table, tracking gifts, and working closely with student volunteers.
  6. Assists with various communication-related initiatives, which includes ownership and aggregation of content for weekly events digest and monthly newsletter for alumni and pulling Salesforce data lists for both alumni and donor emails.
  7. Responsible for general website maintenance for alumni and events section of HKS website.
  8. Manages general phone line and email inboxes for Alumni Relations and HKS Fund.
  9. Provides administrative support to both teams, such as expense reports and including creating meeting agendas, notes, and any follow up minutes as needed. Represents both teams at internal meetings as needed.
  10. Performs other duties upon request, as necessary, with or without accommodation.

Basic Qualifications
3 or more years of administrative experience in a related office environment.

  • Strong preference for experience in higher education, alumni relations, and/or fundraising.
  • Excellent verbal and written communications skills.
  • Strong interpersonal skills; ability to communicate with a wide variety of constituencies.
  • Ability to prioritize work in a fast-paced environment with multiple and changing priorities; must be efficient, proactive, have strong attention to detail, multi-task, and to meet firm deadlines.
  • May be required to work some nights and weekends as needed for events.

Physical RequirementsPhysical demands and work environment: primary work takes place in an office environment. Some tasks may require being on campus or in other off-site locations for a period. Sitting or standing for periods of time with some repetitive motion.

This is a hybrid position based on our campus in Cambridge, MA. Salary Range: $60,503 – $95,391
Note: Starting salaries typically fall in the lower half of the salary range; however, they are ultimately determined by the scope of the position, the candidate’s relevant experience, and internal equity.

Work Format Details
This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
