The Assistant Director of Enrollment Systems and Communications manages the development and implementation of communications and CRM system operations, ensuring data integrity and process efficiency to advance the enrollment goals of the School of Graduate and Professional Studies. Reporting to the Executive Director of Graduate Operations and Student Experience, this position requires a blend of technical ability and strong communication skills to effectively manage Slate CRM and communication-related projects and initiatives in the School of Graduate and Professional Studies.
Essential Duties and Responsibilities:
- Manages the operational use of CRM (i.e., Slate) for graduate, professional, and continuing studies admissions to ensure efficiency, effectiveness, data integrity, and ongoing process improvement.
- Coordinates with Marketing and Communications on the production of program-specific and school- wide communications (e.g., email campaigns, social media content, website content) that contribute to the overall enrollment marketing strategy.
- Develop and maintain CRM queries, forms, reports, portals, communication campaigns, and other components based on needs, timelines, and strategies.
- Manage data import/export for record and application creation, event creation and registration, etc.
- Offer first-level support for CRM-related concerns, troubleshooting, and training for users within the School of Graduate and Professional Studies.
- Assist program directors and the graduate admissions and continuing and professional studies teams with inquiry and application management, and communication and data functions specific to the needs of individual programs and the school overall.
- Ensure that key campus constituents have access to critical graduate, continuing, and professional studies enrollment data by providing reports on key trends and opportunities.
- Collaborate with key campus stakeholders to maximize the use of and integration with existing technologies to improve the prospective graduate, professional, and continuing student experience.
- Maintain user-training/reference materials and documents.
- Engage with campus and external stakeholders and vendors on projects, communicating urgent and/or complex CRM issues to relevant teams.
- Represent the School of Graduate and Professional Studies at various campus and community events and/or meetings and committees.
- Remain current with new features or opportunities within the CRM system to assist in attaining enrollment goals.
- Perform other duties and responsibilities as assigned.
Education and Experience:
- Bachelor’s degree.
- Two years or more of experience in higher education preferred.
Required Knowledge, Skills and Abilities:
- Prior experience using customer relationship management (CRM) software (e.g., Slate).
- Critical thinker with strong problem solving and research proficiencies.
- Ability to comprehend and interpret competitor strategies and consumer behavior.
- Ability to conceive and execute a communications campaign to prospective students.
- Ability to gather large amounts of data and convert it into meaningful analysis.
- Strong organizational skills and detail orientation.
- Strong project management skills; ability to organize, prioritize, and meet deadlines.
- Ability to work under pressure and meet strict due dates.
- Creative mind with superb written and verbal communication skills.
- Ability to simplify complex information into a user-friendly format.
- Proficient in Microsoft Office Suite.
Desired Qualifications:
- Two or more years of experience working in enrollment management and admissions, with graduate admissions experience preferred.
- Master’s degree
- Prior experience working with Technolutions Slate CRM and Student Information Systems (e.g., Ellucian Banner, Colleague).
Physical Requirements and Working Conditions:
- Prolonged periods of sitting at a desk and working on a computer.
- Occasionally lifting 25 lbs. or less
- Must hold valid driver’s license
- Occasional travel is required
- May have an alternative work schedule
