Summary:
The Associate Director of Alumni Engagement manages the development, implementation and execution of new and existing alumni programs designed to foster a lifelong connection between alumni and the College. The position provides support for all three pillars of the Alumni Engagement Strategic Plan with primary focus around Community Building / Affinity Programming.
The Associate Director has four primary target focal points:
- Alumni Weekend event management and execution.
- Management of local, regional, and affinity-focused events and creating.
- Serve as staff liaison to the Communikty Building & Affinty Committee of the Rollins Alumni Board and collaborate with the committee chair to manage the committee, set goals and objectives, execute on those goals and objectives.
- Work closely with Executive Director and Alumni Board Chair manage board communications and meetings throughout the year.
This dedicated role will lead and direct a high-quality Alumni Weekend experience comprised of experiential, learning, and affinity events aligned with the Alumni Office strategic goals. This position will oversee the alumni office’s event management platform.
Primary Responsibilities:
- Directs and oversees all Alumni Weekend activities including developing new events, creating event schedule, developing and maintaining budget, ordering merchandise, coordinating staffing, campus and vendor relationships, onsite leadership, and post-weekend wrap up/settlement activities.
- Designs strategic, multi-channel marketing plan for Alumni Weekend, including managing data needed for unique affinity segmentation and class reunions.
- Supports and assist Executive Director with overall management of the Rollins Alumni Board.
- Initiates the creation and development of new experiential gatherings, inclusive of alumni from all three schools aligned with the College’s strategic plan for Alumni Engagement.
- Executes regional and national events, including travel and onsite event oversite as needed.
- Collaborates with President’s office to communicate travel plans, event briefings, and provide oversite to all alumni events, locally and regionally.
- Oversees alumni event management platform as relating to Alumni Weekend, Rollins in a Box, and other alumni events. Manages RSVPs, tracks event communications, and reports alumni attendance to Advancement Services or enters in college CRM in a timely manner.
- Manages data pulls and organizes segmentation for all alumni event communications.
- Creates timely contact reports for alumni interactions using the College CRM.
- Maintains close effective working relationships with colleagues across Institutional Advancement, Rollins Marketing, and Communications & External Relations offices, Center for Career and Leadership Planning, other on-campus offices, and outside vendors.
- Manages the design and timely production of Alumni Weekend collateral materials in collaboration with Office of Marketing.
- Develops experiential program follow-up surveys for guests and internal campus partners and analyzes findings for alumni events, including Alumni Weekend.
- Researches best practices and remains current on trends, strategies, and services offered by other institutions. Drafts and maintains documentation for processes and policies, as applicable.
Minimum Qualifications
& Education:
- Bachelor’s degree from an accredited college/university.
- Two to four years’ experience in event planning and constituent relations.
Preferred
Qualifications:
- Alumni events and volunteer management and/or higher education or non-profit experience desirable.
Knowledge, Skills, & Abilities:
- Demonstrated initiative, creative energy, and ability to manage complex projects or events. Flexible, adaptable, and comfortable working in ambiguous and ever changing, fast-paced environment.
- Analytical and strategic thinking capabilities with strong planning, project management and organizational skills; ability to set and balance multiple priorities, be an active problem solver, and manage time effectively in a deadline-driven environment.
- Excellent interpersonal, verbal, and written communication skills; thorough knowledge of business English, spelling, and grammar.
- Experience employing technology, digital marketing tools, data management and analytics to optimize alumni engagement. Familiarity with relevant and contemporary tools/technologies for email marketing, content management, social media, video, event management, online giving, texting, etc.
- Strong Excel skills necessary to manage and fully utilize alumni engagement technologies. Attention to detail and commitment to accuracy are crucial.
- Demonstrated ability to work successfully and effectively with a wide range of constituents and manage complex relationships. Act independently and as a member of a team, and ability to work collaboratively.
- Ability to handle confidential information, maintain and update files with high degree of accuracy, and sensitivity to the importance of alumni and donor relations.
- Computer fluency including Microsoft Office Suite; ability to learn and utilize Slate database reporting, iModules, and other CRM technology/systems.
- A demonstrated commitment to promoting and enhancing diversity and inclusion.
Work Environment:
- Campus-based, front-facing customer service position, working in an office environment.
- Work requires visual strain and use of computer.
- Occasional evenings and weekends required throughout the year including Family Weekend, Alumni Weekend, and select board meetings.
