Job Description Summary:
Assist with the coordination and staffing of continuing education programs for healthcare professionals. Primarily assist program managers with the logistical aspects of continuing education programs and speaker arrangements, such as speaker travel and speaker documents. Staff programs with the program manager, when needed, to provide optimal program support. Assist with venue logistics including audiovisual and room set up arrangements.
Anticipated hiring range is $54,000 – $56,000 annually. A hybrid work schedule is an option with some remote work a possibility after successful completion of the probationary period.
Job Description:
Job Duties Outlined (basic/primary responsibilities):
- Assist the program manager in the logistical details and speaker arrangements for continuing education programs that meet accreditation requirements, including speaker travel and hotel reservations, and speaker documents.
- Attend programs, when necessary, and assist program manager with registration, instructions, and other assistance as needed.
- Assist program manager with event venue arrangements, particularly audiovisual needs, facility setup, and event meals and refreshments.
- Prepare essential program materials including name badges, sign in sheets, certificates, verification forms, evaluations, syllabus, and other course materials.
- Assist program manager and financial staff in the preparation of the final program budget as it pertains to speaker travel and hotel accommodations, venue, meals, and other logistics described above.
- Update budget documents as needed with estimated and actual expenses and revenues; prepare information for financial staff to process payments.
- Assist program manager with delivery and dissemination of printed and/or digital marketing communications.
- Must have a valid and current driver’s license; able to travel, with some overnight; and have reliable transportation.

Required Qualification
Education: Bachelor’s degree in education, health care, business administration, or related field; one year of related work experience may be substituted in lieu of each year for the degree, or an equal combination of education and related work experience may substitute for degree
Work Experience:
- Experience assisting in the coordination of detailed projects/events and scheduling logistical arrangements within specified time frames.
- Experience with Microsoft Office.
Preferred Qualifications
Work Experience: Experience with adult education or continuing education programs; experience with travel arrangements and logistics
Skills:
- Proficient communication (interpersonal, verbal and written), able to communicate effectively with people at all levels of the organization.
- Ability to work on multiple tasks simultaneously.

Compensation Statement:
The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
