Coordinator of First Enrollment Academic Advising

Empire State University seeks a dedicated and student-centered coordinator for a new online First Enrollment Academic Advisors (State Title: Academic Advisor) team serving new undergraduate students, often transfer students, by providing first-enrollment academic advising services and specialized expertise in evaluating transfer credit for various degree pathway options as part of the orientation and onboarding process for new students. The coordinator will manage ongoing team training, assessment, and continuous improvement of first enrollment advising services and contribute to new student resource development. The coordinator will report to the Director of Academic Advising and will primarily collaborate with faculty leadership, the registrar’s office, student support and outreach, and the office of enrollment management. The coordinator will also participate in first-enrollment team activities including transcript review, integrating prior learning credit potential assessment results, recommending appropriate courses based on student goals and academic program requirements/guidelines, applying data-driven advising strategies, and supporting students in the first enrollment process. This team will also provide transcript analysis support to prospective students if requested. Participation in the team activities will be balanced with coordination responsibilities.

Specific job duties include:

  • Coordinate training for first-enrollment advising team.
  • In collaboration with the Director of Student Support and Outreach, develop and implement assessment of first-enrollment advising services.
  • Identify new student resources needs and collaborate in the related development.
  • Provide first enrollment course advisement for new matriculated undergraduate students.
  • Manage advisement of non-matriculated students.
  • Assess incoming goals of students, competing priorities, and support needs.
  • Develop and maintain mastery of the university’s academic program requirements, policies, and procedures.
  • Develop an understanding of the university’s prior learning system and review potential for prior learning assessment.
  • Develop a basic understanding of financial aid eligibility and its impact on time to degree completion.
  • Conduct unofficial transcript reviews for prospective students.
  • Support students in the enrollment process.
  • Collaborate with various departments and individuals to help promote first-term enrollment and develop resources.
  • Participate in regularly scheduled meetings for department updates, team building, professional development, governance, and university development.

Job Requirements:
Required Qualifications:

  • Master’s Degree from a regionally accredited US university.
  • A minimum of 3 years of professional experience in a higher educational setting with a role-specific to academic advisement or student development.
  • Excellent and effective communication and organizational skills.
  • Ability to work within a collaborative academic environment with faculty and staff from multiple departments.
  • Desire and skills to engage with undergraduate learners in an online environment.

Preferred Qualifications:

  • Prior supervisory experience.
  • Academic advising experience with transfer students.
  • Knowledge of learning technologies and online pedagogies.
  • Experience with computer databases and web-based communications platforms including Banner, CRM, or other data management and tracking tools.
  • Prior knowledge of and experience working with bilingual and emergent bilingual learners, particularly in online settings.
  • Prior experience working effectively with faculty, staff, and students from diverse linguistic, cultural, and socioeconomic backgrounds.

Special Information:

  • This position may involve occasional travel.

Additional Information:
Rank/Salary: SL3 / $60,00-$65,000, dependent upon experience and qualifications.
