Job Summary
The Coordinator is a vital member of the team supporting the core activities of Social Enterprise Initiative (SEI) in pursuit of this mission. The position reports to the Director of Programs to support the implementation of MBA program activities and additionally supports select projects in coordination with the SEI Director, Associate Director for Alumni Programs, and Assistant Director for Executive Education Programs. The ideal candidate will excel in a dynamic community that values and pursues equity, excellence, and collaboration in our work.

Position Description
The major areas of responsibility include:

  • Supporting the administration of several SEI programs (e.g., Independent Project grant program, New Venture Competition, and Summer Fellowship program) including contact with students, managing the application processes, supporting selection committees, and coordinating funding processes.
  • Coordinating and supporting event planning and execution, including room scheduling, catering logistics, technology, and vendor management for meetings, conferences, research forums, advisory board meetings, workshops, and student events (both in person and online).
  • Serving as first-line contact for organizations and students interested in connecting with SEI, responding to phone, email, and walk-in inquiries. Maintains SEI program and event knowledge and serves as contact for inquiries, able to answer questions regarding program/event purpose, timing, and general eligibility requirements.
  • Advancing SEI social media efforts, including active approach to regular LinkedIn content, coordination and implementation of social media campaigns, and exploration of other avenues for outreach. Serves on schoolwide social media managers committee.
  • Maintaining SEI web page with comprehensive department/program news and information and reporting usage metrics.
  • Overseeing SEI Impact Insights blog, including leading brainstorming sessions on content, point person for external blog contributors, editing and publishing blog, and coordination with other HBS communications departments for content and further reach.
  • Coordinating and preparing electronic newsletter communication to constituents as well as campaign specific communication; overseeing distribution of SEI information to individuals and internal offices
  • Serve as SEI in-house lead on Salesforce database, working in collaboration with the HBS Initiatives Core Team to support SEI’s data needs, including importing and exporting data, maintaining contacts with alumni and external organizations, preparing and executing outreach to specific groups, and running reports. Initiate improvements to processes and data organization. Develop, document, and execute a process to identify newly published research and curriculum materials related to social impact.
  • Support student-alumni coaching program, in partnership with Associate Director of Alumni Engagement, including recruiting alumni and students, and developing a process for matching and communicating with participants via an online mentorship program. Follow up with students and alumni to assess satisfaction with the program. Report on program performance.
  • Providing general administrative coordination of SEI office, including managing department mailings, scheduling meetings with team/faculty and accounts payable.
  • Working independently with minimal supervision in a dynamic work environment of multiple and conflicting priorities. Anticipates and resolves problems and updates supervisor on status of projects.
  • Take on specific projects and other responsibilities as assigned based on SEI’s evolving needs.
  • This role is responsible for other duties as assigned.

Basic Qualifications

  • High School Diploma, GED, or equivalent is required.
  • 5+ years of experience in an administrative support role(s) and/or related experience is required.
  • Education beyond high school may count toward experience.
  • Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.
  • Requires a high level of proficiency in using technology to support complex administrative functions through Salesforce, word processing, mail merges, databases, social media, and web management.

Additional Qualifications and Skills

  • A self-starter with excellent project management, communication (both written and oral), and interpersonal skills.
  • Possess good professional judgment, know when to ask questions, and understand when to take initiative.
  • Has the initiative and confidence to work independently, the integrity to handle confidential information with discretion, and the ability to function as part of a team and coordinate with multiple constituencies in a dynamic work environment.
  • Strong problem-solving skills, attention to detail, and customer service skills are essential.
  • Ability to manage time effectively, set appropriate priorities, take ownership of projects, and follow through on a consistent basis.
  • High level of proficiency in using technology to support complex administrative functions through Salesforce, word processing, spreadsheets, mail merges, databases, social media, and web management.
  • Preference for candidates with demonstrated interest in social enterprise.

Additional Information
This is a 35-hour/week, overtime-eligible position.

This is a hybrid position which we consider to be a combination of remote and onsite work at our Boston, MA based campus. HBS expects all staff to be onsite 3 days per week and departments provide onsite coverage Monday – Friday. Specific hours and days onsite will be determined by business needs and are subject to change with appropriate advanced notice.
