Required Qualifications (as evidenced by an attached resume):
Bachelor’s Degree (foreign equivalent or higher) and two (2) years of full-time progressively responsible experience. In lieu of a Bachelor’s degree (foreign equivalent or higher), an Associate’s Degree (foreign equivalent or higher) and four (4) years of full-time progressively responsible experience. Experience working with Google Suite and/or Microsoft Office Suite products. Customer service experience.

Preferred Qualifications:
Bachelor’s degree (foreign equivalent or higher). Experience working and interacting with diverse populations, including individuals over the age of 50. Experience creating electronic surveys, capturing responses and creating reports. Experience working with Zoom, Teams or similar programs to set up meetings and troubleshoot issues for attendees. Data management experience using Excel, Google Sheets or similar programs. Event Planning experience.

Brief Description of Duties:
The Osher Lifelong Learning Institute (OLLI) at Stony Brook University provides diverse opportunities for peer-led learning for retired adults aged 50 and older in the Long Island community. The Program Coordinator is responsible for organizing the weekly workshops for OLLI members each semester. The OLLI Program Coordinator will deliver a high level of customer service and provide administrative support including purchasing, scheduling of meetings, and member support. This position reports directly to the OLLI Program Director and works closely with other professional and student staff. Strong communication and organization skills, the ability to be flexible and adapt to changing priorities, the ability to multitask effectively, and the ability to work independently and collaboratively in a fast-paced environment are vital to this position.

Duties:

  • Customer Service:
    • Interact with OLLI members in a courteous, empathetic, and professional manner via various communication channels such as phone, email, zoom and in-person visits.
  • Problem Resolution:
    • Listen attentively to OLLI member concerns, troubleshoot issues, and provide effective solutions that meet their needs and exceed their expectations.
    • Offer personalized assistance and guidance to OLLI members related to workshop access and technology (e.g. zoom access).
  • Program Operations:
    • Develop a comprehensive understanding of the OLLI program necessary to support OLLI members and the OLLI program director in realizing successful program outcomes.
  • Communications:
    • Assist with developing and disseminating communications to OLLI members individually and in bulk through email and other platforms (e.g. constant contact), create surveys in Qualtrics, and create Google forms to capture information.
  • Data management:
    • Assist with supporting the OLLI program director, OLLI Executive Committee (OEC), and Director of Finance and Operations by extracting and curating enrollment and financial data necessary for decision making.
  • Scheduling and event management:
    • Assist with scheduling and supporting OLLI OEC and committee meetings, coordinate and support logistics and catering for OLLI events including annual membership meetings and special meetings and events.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.

Special Notes:
This is a full-time appointment. FLSA Non-Exempt position, eligible for the overtime provisions of the FLSA.

In addition to the employee’s base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.
