Position Summary

Under the direction of Graduate School Leadership, is responsible for conducting moderate to complex financial analyses, analyzing budgeting information, developing financial modeling tools and systems, executing periodic financial reconciliations on all Graduate School and Student related matters.

Job Responsibilities

  • Working with Graduate School leadership & finance, conducts independent complex analyses and research required to prepare the annual operating and/or capital budgets.
  • Provides timely status reports, on utilization trends and reconciliation. Investigates issues and corrects discrepancies. Escalates issues as needed.
  • Working with the Director of Education and finance, prepares and implements the budgeting plan.
  • Prepares data validation reports in SAP.
  • Coordinates effective communication with program leaders and coordinators.
  • Executes intercompany transactions by initiating JVE forms.
  • Ensures adherence to all Graduate School financial policies and procedures.
  • Working the Senior Grants Manager, performs in-depth grant year end reconciliation on all student related allocations.
  • Develops business unit reporting system for management, project or performance reporting and implements to deliver management information according to the reporting cycle.
  • Reviews and approves appropriate treatment for accounting/finance issues associated with unusual or complex transactions.
  • Applies internal control over financial transactions, and exercises through reconciliation efforts to project financial risks.
  • Understands and applies advanced accounting and finance knowledge, advises each Graduate School group and program of their respective budget.
  • Oversees all post-award financial activities for PhD student fellowships, including appropriate billing of institutional partners.
  • Manages PhD student stipend payments, stipend terminations, and annual change-of-funding between partner institutions.
  • Implements and oversees financial processes related to Graduate School groups and activities, including orientation, recruitment, Interview Days, commencement, convocation, Dean’s initiatives, academic program operations, etc.
  • Oversees and approves all internal and external payments and transactions conducted by Graduate School staff. Assures WCGS personnel are appropriately funded.
  • Manages PhD student stipend funding, including allocation of stipend payments for incoming and continuing students, year 3+ sponsor agreements, change of funding processes, stipend termination processes.
  • Ensures records are properly maintained in all systems.
  • Oversees WCM budgeting and financial support of Tri-I graduate programs.
  • Collaborating with the WCGS Director of Education, oversees the two Finance team members.
  • Ensures that funding from Houston Methodist Academic Institute is appropriately allocated.
  • Promotes the integration of financial activity from MS programs with Graduate School budgeting.
  • Implements and oversees student supplemental funding processes – travel grants, institutional fellowships, etc.
  • Oversees the accounting and reporting of all post-award financial activity. Assists with other accounting, grant support, and operational projects as assigned.
  • Responsible for preparation of quarterly financial reports for review.

Education

  • Bachelor’s Degree in related field

Experience

At least 7 years of experience with educational finance.

Knowledge, Skills and Abilities

  • Effective written & oral communication skills and excellent organizational skills.
  • Demonstrated experience with budget and strategic financial planning.
  • Demonstrated experience with enterprise financial systems, database management and spreadsheet applications.
  • Demonstrated experience analyzing complex financial structures.
