Job Profile Summary:
The Account Operations Specialist is responsible for assisting in operational duties connected to the university wide refund process. The position and processes ensure compliance with university, state, and federal regulations along with standard accounting procedures. The role supports student retention, graduation, and student satisfaction goals.
This position requires timely and accurate processing of student related refunds using a variety of university wide system applications, state, and federal sites as well as other system applications. This position works closely with a variety of offices across the institution. The role supports new and continuing students who are enrolling at WGU. This position is tasked with establishing and maintaining a positive and productive work culture.
Essential Functions and Responsibilities:
- Support university retention and graduation goals.
- Process refunds requested manually or via the system in a timely and efficient manner.
- Research and resolve account discrepancies.
- Maintain accurate accounting documents and records.
- Ensure compliance with university, state, and federal regulations and procedures.
- Attend and participate in meetings as required.
- Backup and assist other functions as needed.
- Complete any special projects or reports as needed for Supervisor.
- Perform additional duties as assigned.

Job Qualifications:
Minimum Qualifications:
- Associate Degree
- Requires a minimum of 1-2 years of accounting, finance, or business office experience.
- In lieu of a degree, 3 years of experience in either accounting, finance, higher education, or business office experience may be accepted.
- Basic knowledge or understanding of accounting principles such as billing, financial statements, accounts receivable or accounts payable.
Preferred Qualifications:
- Bachelor’s Degree
- Prior Banner system and federal financial aid regulations experience.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
