General Scope of Duties
The Office of Alumni and Parent Engagement (APE) and Annual Giving (AG) Coordinator supports programs, communications, and initiatives related to Connecticut College alumni and families. This role is responsible for streamlining and overseeing the day-to-day operations and communications of both offices. This role is responsible for managing administrative processes and budget management – in addition to supporting alumni and family events, communications, and engagement.
Ultimately, this position supports the goals of the Offices of Alumni and Parent Engagement and Annual Giving by promoting lifelong relationships, fostering active and enduring engagement with Connecticut College, and promoting a culture of philanthropy.

General Duties and Responsibilities
Administrative Process

  • Administrative coordinator for two departments: Alumni and Parent Engagement and Annual Giving.
  • Serve as APE/AG expert on Advancement CRM Database (Salesforce) and other software needed by division staff
    • Extract reports, update database, distribute reports, manage Salesforce calendars, etc.
  • Assist alumni, students, parents, and constituents of the College with all general inquiries via management and oversight of the APE/AG phone lines and general inquiry emails.
  • Open, distribute, and file mail/correspondence.
  • Other duties as assigned or as necessary.

Budget Management

  • File all invoices appropriately, oversee payments for events and vendors, and manage payment gateway.
  • Reconcile budget monthly for APE and AG.
  • Reconcile APE & AG PCard transactions.

Volunteer Management

  • Connecticut College Alumni Association Board of Directors
    • Attend all meetings. Prepare & distribute confidential minutes
    • Manage digital volunteer portal by curating all Board/Council materials, oversee trainings, develop agendas, and prepare documents/resources
    • Reserve on-campus spaces and catering for Board/Council meetings; secure hotel accommodations
    • Execute surveys after Board/Council meetings
  • File volunteer contract reports, assigned volunteer role data entries, special mailings/outreach, etc.
  • Support APE/AG Directors & the 50th Reunion Class by managing Koin Gold projects, communications, and committee logistics.
  • Coordinate fundraising and engagement opportunities, update lists of donors, etc.

Events & Marketing Coordinator

  • Support Alumni & Parent Engagement events by:
    • Finalizing lists for invitations, overseeing mailing, tracking RSVPs and correspondence
    • Prepare event materials including name tags, check-in sheets, supplies, and reports
  • Order, organize, and oversee swag inventory

Fundraising Coordinator

  • Support reporting for, analysis of, and implementation of AG programs.
  • Assist AG staff as assigned or as necessary with the preparation and distribution of solicitation materials, emails, mass mailings, and other fundraising activities and programs.

On-Campus Partnerships

  • Work with on-campus partners to reserve catering and spaces for events and programs.
  • Partner with the Offices of Human Resources and Financial Aid to coordinate APE/AG student employment including academic-year and Reunion student workers. File paperwork, approve timesheets, and day-to-day itineraries for student workers.
  • Attend Advancement and other College events as directed (up to 2-3 weekends per year, some evenings).
