Reporting to the Associate Director of Alumni and Family Engagement, the Senior Administrative Coordinator will provide high-level administrative support and coordination for alumni and family programs and activities that support the immediate and long-term goals of the office of Alumni and Family Engagement.

  • Provide general office administrative services and support. Provide direct support to assigned staff and programs. Provide outstanding customer service to all department visitors and alumni through phone and written communication. Plan, coordinate, and schedule meetings; maintain calendars; make travel arrangements; submit expense reports; and perform a variety of other administrative duties. (50%)
  • Work in collaboration with Advancement Information Services to assist in maintaining and managing alumni data that will help support University Advancement’s pipeline development goals. Provide support in requesting and organizing data to identify, implement and record alumni engagement efforts. Manage internal systems for alumni mentorship program. (20%)
  • Coordinate regional and on campus alumni programming, inclusive of providing support to staff and volunteers; coordinating communication efforts; shipping materials; and all activities associated with ensuring successful engagement of alumni. Liaise with Special Events and Marketing and Communications when applicable. (20%)
  • Staff and support various events on and off campus, including some evenings and weekends. (5%)
  • Performs other duties as assigned or requested. (5%)

Requisite Qualifications

  • Typically a Bachelor’s Degree in related field or equivalent experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.
  • Minimum 4 years administrative support or coordinator experience.
  • Demonstrated knowledge in the areas of: Customer service standards, modern office practices and procedures. Office equipment usage and maintenance; telephone etiquette, letter, email, website and report writing, proofreading, correct English grammar, usage, rhetoric and spelling. Must have basic knowledge of budgets.
  • Exemplary communication skills (both written and oral) evidenced by background in preparing website and social media content, comprehensive reports and executive summaries incorporating complex, highly technical information.
  • Highly developed organizational and leadership skills.
  • Demonstrated computer competency and preferably knowledgeable of Word, Excel, PowerPoint, Outlook, Social Media, Content Management Systems (CMS) and Donor Management Systems.

Reasonable Expected Salary:
$25.00 – $27.40/hourly
Salary offer commensurate with education and experience.
