Rutgers, The State University of New Jersey is seeking a part-time Administrative Assistant for the Zimmerli Art Museum’s Education Department. The administrative assistant will provide essential, logistical support for all procurement, business transactions, and other workflows that are necessary to execute a broad range of programming, both on- and off-site.

Among the key duties of the position are the following:

  • Handles departmental communications with the public, including scheduling guided tours, coordinating with invited guests, program registrations, capturing metrics for grant reports and attendance tracking, and other tasks as needed.
  • Assists the department staff with the coordination and implementation of large-scale public programs, including SparkNight, Art Together, Último Domingo, Exhibition Programs, Rutgers Day, Summer Art Camp, and K-12 School Visits.

Position Status: Part Time

Hours Per Week: up to 19.9

Daily Work Shift: Day

FLSA: Nonexempt

Position Salary: $25.00 – $28.00/hourly

Payroll Designation: PeopleSoft

Terms of Appointment: Temporary Staff Appointment – Hourly

Minimum Education and Experience

  • Bachelor’s degree in a related field, and/or an equivalent combination of education
    experience.

Certifications/Licenses

  • Must obtain and retain certification in Protection of Minors, as administered by Rutgers University.

Preferred Qualifications

  • Knowledge and understanding of office administration, organization, coordination, facilitation, and project management.
  • Enthusiastic about the value of arts-based learning and community engagement and possess a strong desire to share this enthusiasm with others.
  • Must be proficient with office administrative duties and have strong project management skills that require knowledge of payment, purchasing, and other business transactions.

Required Knowledge, Skills, and Abilities

  • Must be proficient with Microsoft Office Suite, especially Excel and Teams.
  • Excellent organizational skills; outstanding written and verbal communication skills;
  • Effective public relations skills;
  • Ability to function productively, independently, and with composure in a fast-paced, deadline-driven environment; attention to detail;
  • Ability to prioritize from among a wide variety of daily tasks; Willingness to lead tours and support public programs.

Physical Demands and Work Environment

  • Must be willing to work flexible hours including evenings and weekends.
